Full-time Corporate office manager – customer experience in Zaventem en Wommelgem

We are currently hiring a full-time CX office manager for one of our clients.

The CX Office Manager plays a pivotal role in enabling the Head of CX to operate at full strategic capacity. This position combines executive-level content production, business intelligence, vendor coordination, and operational discipline into a single highly trusted role. The ideal candidate is a proactive, detail-obsessed professional who thrives in complex, multi-stakeholder environments and knows how to get things done.

In this role, you will:

  • Deliver executive-level presentations for senior leadership and CX governance forums
  • Use AI tools to efficiently create high-quality, on-brand content
  • Translate complex data into clear, compelling visual narratives
  • Manage and improve the VoC Office documentation ecosystem (structure, versioning, standards)
  • Proactively anticipate and prepare documentation aligned with key milestones
  • Draft internal communications and consolidate inputs for reports and executive briefings
  • Ensure clarity and consistency across CX communications
  • Manage vendors and budgets, ensuring SLA delivery and tracking spend vs. plan
  • Maintain vendor and contract oversight (trackers, renewals, reviews)
  • Track priorities, manage follow-ups, and coordinate agenda, meetings, and events
  • Act as the central point of contact for internal coordination

This is a full-time position (38 hours/week) with a flexible working schedule. The role offers a hybrid work setup, with a mix of home working and on-site presence in Wommelgem and Zaventem.

Your profile

Candidate Requirements:

  • Language: Fluent/native English (written & verbal); French is a strong asset
  • Proactivity: Anticipates stakeholder needs and acts independently; solution-oriented mindset
  • Matrix navigation: Comfortable in complex, global matrix organisations with diverse stakeholders
  • AI proficiency: Hands-on experience with AI tools (e.g., Microsoft Copilot, AI writing assistants, MS365 suite); advanced in PowerPoint, SharePoint, Teams
  • Project management: Manages multiple workstreams, prioritises effectively, meets deadlines with minimal supervision (PM tools a plus)
  • Attention to detail: High accuracy standards; identifies and resolves issues before reaching leadership
  • AI mindset: Strong interest in driving AI adoption within a global team
  • Communication & follow-up: Excellent communication skills; confident and persistent in stakeholder follow-up
  • Experience supporting corporate teams and/or executives in a global environment
  • Strong technology affinity
  • 10+ years’ experience (or 5–10 years for high-potential), ideally in Customer Service, Consulting, or Communication
  • Experience in Customer Experience (CX) and/or Employee Experience (EX)
